Internal regulations of the Al-Isbaah Institute · Online studies.

1. About the Institute

The Al-Isbaah Institute specialises in online teaching of the Arabic language and the Quran.

Teaching is provided in accordance with the Quran and the Sunnah, according to the understanding of the pious predecessors (Salaf As-Sâlih).

The Institute is fully independent of any political organisation and cannot be held responsible for activities unrelated to its teaching.

2. Acceptance of the regulations

Any registration with the Institute implies unreserved acceptance of these internal regulations.

The student acknowledges having read all the rules before registering and undertakes to respect them throughout their studies.

3. Student account

Each student has a personal account allowing them to manage their entire schooling.

The student is responsible for:

  • keeping their login details confidential;
  • the accuracy of the information provided on their account;
  • regularly checking their personal space;
  • reading their notifications and the information sent to them.

All information published on the student account is deemed to have been brought to the student's attention.

4. Administrative procedures

All administrative requests must be made from the student account.

This includes in particular:

  • absence requests;
  • make-up class requests;
  • choosing a make-up slot;
  • requesting an extra class at the end of the session;
  • reporting a teacher's lateness;
  • reporting a teacher's absence;
  • availability change requests where permitted;
  • pause requests;
  • definitive stop requests;
  • requests to resume classes;
  • submitting homework when required by the programme;
  • submitting the end-of-level exam;
  • any other request requiring administrative action.

No request made via WhatsApp, Messenger, SMS, e-mail, phone or directly to a teacher will be taken into account.

Teachers are not authorised to handle administrative requests.

Any request made outside the deadlines set by the platform may be automatically refused. No regularisation is possible after the deadline has passed, except by exceptional decision of the administration.

5. Communicating with the Institute

For any question relating to:

  • the platform;
  • payments;
  • technical difficulties;
  • administrative issues;
  • absences and make-up classes;
  • requests concerning schooling;

the student must contact the support service exclusively from their student account.

Teachers are not authorised to answer administrative requests or to modify decisions taken by the administration.

6. Conduct

The student must behave in accordance with the values of Islam.

They must show respect towards:

  • teachers;
  • other students;
  • administration staff.

Any insulting, disrespectful, defamatory, threatening or disruptive behaviour, including on the Institute's communication tools, may lead to suspension or immediate exclusion, without refund.

7. Equipment

The student must have:

  • a compatible computer or tablet;
  • a stable Internet connection;
  • a working microphone;
  • earphones or a headset.

Using a mobile phone is discouraged and should only occur when a computer or tablet cannot be used.

The Institute cannot be held responsible for classes disrupted due to:

  • the student's poor Internet connection;
  • faulty equipment;
  • a power cut at the student's home;
  • a technical problem arising from the student's equipment or connection.

8. Schedules and slots

Slots are allocated according to teacher availability and the Institute's organisational possibilities.

The Institute reserves the right to modify a slot, in particular in case of:

  • a teacher's definitive departure;
  • changes in prayer times;
  • educational reorganisation;
  • constraints related to the running of the Institute.

9. Attendance, lateness and absences

The student must be connected a few minutes before the class starts so as to be ready on time.

9.1. Student lateness

Any lateness of more than 15 minutes automatically results in the loss of the class. The class is then considered as delivered and gives no right to a make-up class.

The student must therefore take all necessary steps to be present and ready at the start of the class.

9.2. Teacher lateness

If the teacher is more than 5 minutes late, the student must report it from their student account, in accordance with the procedure provided on the platform. A delay of less than 5 minutes cannot be reported as long as the time is made up at the end of the class or during another class.

The report must be made within the deadline indicated by the platform. After this deadline, no claim concerning the teacher's lateness can be accepted. Once the lateness is confirmed, the measures provided by the Institute are applied automatically.

9.3. Teacher absence

If the teacher does not show up, the student must wait 15 minutes after the scheduled start of the class. After 15 minutes without the teacher, the teacher is considered absent.

The student may then disconnect and must report the absence from their student account before the deadline set by the platform. Failing a report within the deadline, no make-up class can be granted.

9.4. Student absence

Any absence must be declared from the student account within the deadlines indicated by the platform.

The number of authorised absences is calculated automatically according to the number of weekly classes and the rules applicable to the session.

An absence not declared within the deadlines may be considered unjustified and result in the loss of the class.

10. Make-up classes

When a student is entitled to a make-up class, they may:

  • choose an available slot themselves from their student account;
  • or ask for the class to be automatically added at the end of their session when this option is offered.

If no choice is made within the deadline set by the platform, the right to the make-up class may be lost.

Make-up classes are subject to available slots and the Institute's rules. They do not necessarily guarantee the same teacher.

11. Payment and pause or stop requests

Payments are accepted via the payment methods offered by the Institute, in particular:

  • bank card;
  • PayPal;
  • bank transfer.

Card payments may take the form of a subscription with automatic session renewal.

The Institute operates without any long-term commitment. The student may stop their training at any time, subject to compliance with the procedure and notice period provided for in these rules.

11.1. Mandatory procedure

Any pause or definitive stop request must be made from the student account, via the procedure provided for this purpose on the platform. No other method will be accepted.

Thus, a request made:

  • via WhatsApp;
  • via Messenger;
  • via SMS;
  • via e-mail;
  • via phone;
  • directly to a teacher;
  • or by any other means outside the student account;

will not be considered an official request and will not start the notice period.

11.2. Mandatory seven-day notice

Any pause or definitive stop request is subject to a mandatory notice period of seven (7) days.

The notice period starts at the exact date and time the request is sent by the student from their student account. The date and time recorded by the platform constitute the official reference for determining the start and end of the notice period.

11.3. Classes during the notice period

All classes scheduled during the seven (7) days of notice remain maintained. These classes:

  • cannot be postponed because of the pause or stop request;
  • cannot give rise to a make-up class because of this request;
  • remain subject to the usual attendance and absence rules;
  • remain due in accordance with the Institute's payment terms.

The student must therefore continue to attend their classes normally throughout the notice period.

11.4. Effective date

The pause or definitive stop takes effect only after the full expiry of the seven (7) days of notice.

Example: if a request is sent on a Monday at 10:00, the notice period starts on Monday at 10:00 and ends the following Monday at 10:00. The pause or stop therefore takes effect from that moment, subject to the applicable administrative arrangements.

A request sent on a Monday therefore does not mean that classes are immediately suspended.

12. Refund policy

No payment made to the Institute is refundable.

This concerns in particular:

  • card payments;
  • PayPal payments;
  • bank transfers.

Any automatically renewed session is due in full.

In case of stopping after payment, the student may only:

  • resume their classes within a maximum of three (3) months;
  • or transfer their session to another person, subject to the Institute's prior agreement.

No full or partial refund will be granted.

13. Exams and moving up a level

Exams are organised according to the Institute's educational programme. Moving up a level depends on the results obtained and the teacher's educational assessment.

13.1. Minimum required mark

To move up to the next level, the student must obtain a minimum average of 15/20 in the end-of-level exam.

If the student obtains a mark below 15/20, they cannot move directly to the next level. A complete revision of the level may then be offered, followed by a new test.

The decision on the continuation of the study path is made according to the student's results and actual level.

13.2. Exam preparation

A few days before the exam, the student receives the documents to prepare for the next class. It is their responsibility to:

  • download them;
  • print them when requested;
  • prepare them properly before the class concerned.

The student must attend the class with the requested documents ready to use. If the student has not prepared the requested documents, the teacher may devote the class to revision or to the necessary preparation before continuing the programme.

The exam must take place in the teacher's presence: no exam taken without the teacher present will be accepted.

13.3. Sending the exam after completion

After finishing the exam, the student must send the photos or files of their exam to the teacher from their student account, in accordance with the procedure provided by the platform. The submission must be made within the indicated deadline.

The teacher must be able to view the entire exam in order to correct it and assess the student's level.

As long as the exam has not been correctly submitted, the student cannot start the new book or the next level.

14. Teaching materials

All classes, videos, books, recordings, exercises, exams and teaching documents provided by the Institute are protected by copyright and/or the rights applicable to their use.

Any reproduction, distribution, recording, downloading for sharing purposes or transmission to third parties without written authorisation is strictly prohibited.

Login details and access to learning spaces are personal and must not be shared with third parties.

15. Complaints

Any complaint must be addressed to the support service from the platform.

Depending on the nature of the request, the Institute may require supporting evidence to examine the situation, in particular:

  • a screenshot;
  • a file;
  • an audio recording;
  • a video;
  • any other element allowing the reported facts to be verified.

The student must provide the requested elements within the indicated deadline.

Decisions taken by the administration after examining the file are final.

16. Data protection

Personal data is used for the administrative, educational and organisational management of the Institute.

It is not shared with third parties, except where necessary for the operation of the services used by the Institute or in case of legal obligation.

The student undertakes to provide accurate information and to keep it up to date.

17. Changes to the regulations

These regulations may be modified at any time to reflect the educational, technical, administrative or organisational developments of the Institute.

The version published on the website or in the student space is the only authoritative version.

Students are deemed to be aware of changes as soon as they are published in their personal space or on the Institute's website. It is up to each student to regularly consult the information and updates published by the Institute.

18. Entry into force

These regulations come into force upon publication and apply to all students enrolled at the Al-Isbaah Institute.

Registering, renewing a session or continuing classes after the publication of these regulations constitutes acceptance of all their provisions.
